Guide for facilities, events, and planning

Event Overview

Event: Any planned public and/or social activity requiring coordination from multiple support departments (i.e. Dean’s Office, Facilities, Strategic Communications, etc.) within the Miami University Libraries.

  1. Plan an event!
  2. Submit a Pre-Event Form.
  3. Contact Mike Smith for facilities-related event needs.
  4. Contact Systems for tech-related event needs.
  5. Contact Katelyn DeGregorio for marketing & communication event needs.
  6. Contact Heather Bennett for event catering & supplies needs.
  7. Contact Lissa Martin for guest speaker honorariums (minimum of 8 weeks lead time).
  8. Have your event!
  9. Submit a Post-Event Form.

Day of Event Checklist

  • Complete any committee set-up not requested from Share & Showcase.
  • Check set-up prior to event in case small adjustments are needed.
  • Gather supplies/food ordered from the Dean’s Office, unless being delivered by Catering.
  • Set-up food/supplies and catering.
  • After your event, pull all trash and dispose of it in the dumpster if food was consumed. Extra trash bags will be in the bottom of the trash can to facilitate relining the can.
  • Return all remaining packaged food, beverages, and paper goods provided by the Dean's Office after your event is over.
  • Return all easels and foam core signs to Suite 201.
  • Return all cloth linens to Mike Smith. Please note if there any egregious stains.

Catering

Miami University's preferred caterer is Miami Catering, but you may select any food supplier you wish.

Event coordinators are responsible for picking up food/beverages or other supplies that cannot be delivered.

Please adhere to the following lead time guidelines for catering:

  • 14 days minimum for full service catering
  • 7 days minimum for catering involving setup and return
  • 48 hours minimum for drop-off catering (there is a $75 minimum for delivery for Miami Catering)

After you have selected your caterer and the menu, email the details to Heather Bennett for ordering and payment. Please be sure to include:

  • Detailed menu selections (including condiments)
  • If catering is being delivered, provide contact information for the person who will be meeting the caterer at the dock
  • If catering is being picked up, provide contact information for the person picking up the order
  • Delivery/pick up date and time

If you feel more comfortable placing an order with an outside supplier yourself and borrow a p-card from the Dean's Suite to make the purchase, be sure to return the card with the original receipt to the cardholder as soon as possible.

Most caterers will include paper goods. If you are not getting food/beverages from a caterer and need plates, bowls, napkins, plastic cutlery, and/or cups, the Dean's Office can provide these. Let us know how much of any you will need and these supplies will be made available for you to pick up in 225 KNG before your event. Any remaining supplies should be returned to the Dean's Office.

Hosting

The University has strict policies on hosting. To ensure that we comply with these policies, a Post-Event Form is required for all events involving hosting (food and/or beverages).

Please keep in mind:

  • The Post-Event form is needed before the end of the month your event took place if purchases were made with a p-card.
  • If your event had fewer than 12 attendees, provide each person's full name.
  • For large events, report how many university staff, students, and/or university guests were in attendance.
  • Tips may not exceed 20%
  • Miami University is tax-exempt. Card users/purchasers are responsible for ensuring no tax is charged.
